Communication?

Postby Snoop Doug » Fri Mar 02, 2012 10:18 am

Rumour has it there was an ACC AGM on 7th December 2011, nearly three months ago. For the first time in yonks I was unable to make it and I am wondering, might us mere mortals have some feedback please? There may be some out here somewhere but after searching the forum using 'AGM' I'm not able to find any.

There's an irony to the fact that I proposed a change in the rules asking for the committee to be more open about information sharing....about which I have heard nowt

You're right Doug and this has come up at committee meetings and we have talked about publishing minutes on the forum.

We haven't actually done it, but we have talked about it.

Mind you, they are mostly fairly dull.

Dan, our new minutes sec, produced a brilliant, informative and funny set of minutes for distribution to members. I have read them. :D

Seeing as nobody seemed to object, I've posted them over in the Committee Reports section.

Thanks Phil I appreciate your note. It's been coming up at committee for a long, long time and I agree with you that a lot of folks may find the content dull, and that in itself shouldn't be a barrier to openness. There may be aspirations the committee has that could be enhanced and possibly even accelerated through sharing information more freely.

A personal example. Last year I sent a proposed change to the rules with the intention of helping information to flow more freely. This is exactly what I submitted:
“I wish to propose a change to the rules please. I'd like to propose that committee meeting agendas and minutes are a matter of public record and that they are circulated to all members or made available on line no later than two weeks before a committee meeting in the case of agenda and two weeks after a committee meeting in case of minutes.

The timings I've suggested will give people time to contribute should they wish and to ask questions should they wish too.

The committee comes in for unfair criticism around not being seen to do stuff and as you know I've long believed that we should be more open with our communication. Jon Camden’s done a top job on the club run side and the committee side should be and could be just as good.

The Addiscombe is not a secret society and by taking this step I believe the committee will be seen to be more responsive to members needs.

Like I say I will do my very best to attend the AGM however if I can't make it I see no reason why this change can't be proposed in my absence. I will put this on the forum so folks now I've suggested it and can aim any associated flak my way :)

I then found I wasn't going to be able to make the AGM (for the first time in years) so I sent apologies to committee and asked if the proposal could be raised in my absence. I also put the proposal on the club's Facebook page and it got a few likes. So perhaps there is a demand?

The lack of openness is one of the reasons I left the committee. I have no wish to support a secret society, whether that be by accident or design. I hope this gets fixed soon.

Cheers

Phil - we crossed in the post. I've tried to take a look and the link isn't working just now, I'm hoping that's because too many people are trying to access the news.

Well done - through this simple act of publication you have achieved what many have failed to.

Snoop: I put it on Google Docs and set the privacy to "Anyone who has the link". I've tried it from another computer and it seems OK to me. If no-one else can read it then I have done something wrong. The direct URL is https://docs.google.com/file/d/0BwZz99kcJ9IibUdUcDNTdXZSdy1lcGlXWnp6RzZQZw/edit?pli=1. If you have a gmail account it might ask you to sign-in.

In the meantime, I have put a copy on my web server (which is a machine made of spare bits and sellotape in the living room) and that's here: http://steppenherring.dyndns.org/ACC/MinutesACCComittee300112.pdf

Jon: Since lunchtime I haven't looked back. Don't know why on earth it's recurred.

Ah. Take it you've got it then.

Has there been another committee meeting since the January one? If yes when will we see the minutes - the last set were really useful and enjoyable.

I wonder if it might help if some kind soul could post the 2012 calendar of committee meetings on here please? That way us mere mortals know when you are meeting and if we have anything to offer to help make the club even better we know when the next opportunity to engage with you is.

Cheers - Snoop
